Administrative Assistant – Barsa Kelly Cari-Can Co-op
(6 month Contract)
Start As soon as possible
Work Week: In person, 30 to 40 hours, between 9 am to 4 pm, with one day 12 pm to 6 pm.
Duration of Contract 6 months with the possibly of extension to 12 months or permanent.
Salary $18 to 25/hour
Supervision and Reporting The Administrative Assistant is under the supervision of the Manager. The Administrative Assistant will report to the Manager weekly.
Duties The Administrative Assistant is responsible for assisting the Manager in the day to day administration and operation of the Co-operative in accordance with the By-laws, Policies and Procedures determined by the Board of Directors and General Membership.
They are the first contact. They will be reception for the office and monitor the general email, and phone lines.

The successful candidate will:
- Possess strong organizational skills
- Possess Excellent communication and interpersonal skills.
- Be proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.
- Be a team player
- Be punctual and reliable
- Experience in Co-operatives or Community Housing will be an asset
Specific duties included but not limited to:
- Financial Administration
- Prepare and code deposits and cheques
- Maintain Accounts Payables and Receivables
- Assist the Co-ordinator with the following:
- Collection of housing charges and deposits
- Issue late payment notices to members
- Issue housing charge increase and other notices as required
- The Administrative Assistant will be trained to:
- Provide Rent-Geared-to-Income Subsidy Administration
- Assist with the Management of Vacancies as per City of Toronto Regulations (RentCafe).
- Property Management
- Receive complaints and issue maintenance work orders
- Carry out property inspections as required
- Assist in maintaining maintenance and inventory records Purchase supplies and equipment as required
- Assist Maintenance Committee as required.
- In certain cases, when the Manager or Maintenance Staff are not available
- Meet with Contractors or Tradespeople
- Escort Contractors or Tradespeople to Units
- Corporate Services
- The Administrative Assistant shall assist the Co-ordinator in the following areas:
- Issue notices of meetings
- Prepare agendas for Board and Members’ Meetings
- Prepare and maintain corporate and business records of the Co-op as required by the Co-op Corporations Act and the Ministry of Housing Attend and take minutes at Board and Members’ Meetings as required File reports and notices with Government Ministries and agencies as required
- The Administrative Assistant shall assist the Co-ordinator in the following areas:
- Member Selection
- Assist in marketing and promoting the Co-operative, as directed by the Member Selection Committee and the Manager
- Answer inquiries about the Co-operative
- Receive membership and transfer applications
- Assist in maintaining applicant records and waiting lists
- Assist in conducting credit and reference checks
- Send out acceptance and rejection letters
- Assist in administering move-ins and move-outs
- Assist in maintaining membership records
- Assist in key control and parking control
- Office Administration
- Receive inquiries
- Managing calendars, scheduling appointments and meetings, and coordinating logistics for events
- General Office Work.
- Record Keeping including Digitization
- General
- Prepare Meeting Packages to the Members, as required
- Minute taking at various meetings, as required
- Perform other duties as required by the Board and/or the Co-ordinator
- In addition to the above, during temporary absences of the Co-ordinator (for vacation, illness or other reasons) the Administrative Assistant will perform such of those duties of the Co-ordinator as the Board considers to be essential.
