The Opportunity

Reporting to the Property Manager, the Manager of Finance & Corporate Services is responsible for managing all Finance, Human Resources and Information Technology activities, Customer Service and all other corporate services of the co-op.  This position has one direct report, the Finance Coordinator and may supervise the front of house clerical staff.

 

Finance

  • Coordination of all co-op financial activities (accounts receivable and payable, arrears, HST payments and claims etc.).
  • Budget preparation and review with the Property Manager, presentations at Board and Member meetings.
  • Financial reporting notably monthly reports to the Finance Committee and Board.
  • Accounting – reviewing all accounts, bank and other reconciliations, preparation of accruals, month-end entries, processing transactions, year-end cutover, etc. Supervision and review of accounting transactions prepared by Finance Coordinator
  • Payroll, benefits and pension of all employees
  • Annual preparation of financial statements, preparation of audit files, manage audit process with auditors and presentations to Finance Committee, Board and Membership for approval.
  • Calculation and collection of all housing charges for market and RGI members, including preparation of arrears reports and recommendation for NTAs (Notice to Appear) for members in arrears. Managing Performance Agreements (PA) process for arrears. Meeting with members to ensure payment compliance.
  • Setup and operate both the accounting software (YARDI) and other office software and databases.
  • Ensure adherence to accounting principles and financial standards, co-op by-laws and City of Toronto policies. Enforce appropriate internal financial controls and conform to co-op by-laws.
  • Making banking arrangements including negotiation of new agreements. Determine amounts available for investment per co-op by-laws and City of Toronto policies.
  • Insurance, including review and determination of appropriate insurance coverage for property, officers and directors and staff.
  • Maintain asset and property records, manage office supplies and equipment.
  • Prepare and maintain policies and procedures related to financial control, fraud prevention, purchasing and any other policy requirement including development of standard operating procedures and manuals for staff if appropriate.

 

HR and Operations

  • Directly supervise, mentor, manage and provide guidance and feedback to the staff. Support managers with hiring, orientation, performance review, discipline, training assessment, establishing performance objectives and day-to-day program/project initiatives.
  • Maintaining all HR records, including vacation and sick leave.
  • Customer service to members through front of house clerical staff.
  • Prepare and monitor business continuity planning processes and procedures

 

Information Technology

  • Developing and managing the implementation of IT strategy for the organization including needs assessment (software, servers, desktop/laptops).
  • Engaging consultants for ongoing internet and phone services, offsite storage, maintenance of equipment and software as well as other required IT services.

 

Education

CPA designation or equivalent combination of business degree with experience preferably in Finance and accounting.

RGI certification and RGI management experience is an asset.

 

Experience

7 to 10 years of management experience with a large residential co-op or other residential building/complex focused on finance, leasing, RGI management, and oversight over corporate functions.  Knowledge of YARDI management software is an asset.

 

Specialized Skills, Knowledge & Abilities

  • Knowledge of general business practices including HR, IT, leases and tendering for projects
  • Demonstrated leadership skills
  • Demonstrated oral and written communication skills to respond to issues, provide recommendations, and prepare reports to internal and external stakeholders (a written skills test will be administered)
  • Demonstrated ability to exercise discretion and judgement when handling confidential employee or corporate information
  • Demonstrated ability to work under pressure to meet deadlines and prioritize multiple concurrent and competing priorities.
