Specific Accountabilities

• Responsible for employee relations and engagement
• Ability to follow and enforce company policies and procedures
• Manage contractors that have been engaged for services
• Ensures observance of safety regulations
• Purchase in accordance with budgetary guidelines with approval for exceptions made by supervisor
• Review and analyze monthly financial statements
• Review capital expenditure needs and bring to the attention of supervisor for additional direction
• Knowledge of building maintenance
• Understanding in dealing with eviction matters
• Assist in the preparation of annual budgets
• Participate in after hour on call responsibilities

Qualifications

• Property Management experience required
• Ability to process problems and recommend solutions
• Conflict management skills
• Written / Oral communications, Professionalism
• Attendance / Punctuality, Dependability
• Evening/weekend work may be required from time to time

Specific Accountabilities

The Housing Administrator performs duties and responsibilities in the areas of member / tenant services, financial information processing, office administration, enquiries, community development and addressing complaints and resolving problems in the specific areas of the administration of RCMS’s clients’ offices.

1. Maintain a clean and organized work environment
2. Bank deposits
3. Petty cash management
4. Creating / Posting reports, memorandums, notices, board meeting minutes
5. Arrears reports / late charges / NSF’s and payment / performance agreements
6. Prepare NTA and boards eviction decisions to members and their related forms
7. Attend Board /GMM/member/Receiver meetings or any other meetings if requested
8. Preparation of Board / Member meeting packages
9. Board / Member meeting minutes
10. Vacancy Reports
11. COE (calendar of events)
12. Order and control of office supplies
13. Processing of incoming and outgoing mail
14. Telephone reception, checking and returning voicemails
15. Rent Geared Income Calculations

• Administration experience required

CLEANER JOB DESCRIPTION

Required Skill Sets

CUSTOMER SERVICE:

• Maintain courteous and respectful manner when dealing with members
• Guarantee high quality satisfaction to members, staff, management, and Board of Directors

 

SHIPPING AND RECEIVING:

• Maintain supplies
• Monitor inventory levels and report purchasing needs to management
• Unpacking, counting of supplies
• Restocking shelves in maintenance room and janitorial room
• Maintaining and cleaning equipment (l.e vacuums, floor polishers and stripping machines)

 

CLEANING AND SANITATION:

• Clean common areas- washrooms, laundry rooms, front lobbies, hallways, stairwells, elevators, party room, kitchen, bathrooms, office, windows, and mirrors. Clean and dust window sills, wall fixtures
• Replace light bulbs in fixtures where needed
• Strip and wax floors, buff and polish as per company protocol

 

GROUNDS KEEPING:

• Maintain exterior appearance of the buildings and property
• Shovel snow and salt pathway and entrances
• Sweep and wash sidewalks, entrances and garbage rooms
• Water flower beds seasonally
• Rake leaves seasonally
• Collect and dispose of garbage and recycle recycling material (green bin) as per company protocol
• Report safety, security and maintenance issues in log book and report to appropriate personnel

Employee must be able to work independently and make critical decisions. Must be able to lift minimum 50 lbs. Must report all matters to management and/or Board of Directors.
